Role Overview
Reporting to the Finance manager, this Finance Assistant will play a key role in managing procurement, vendor coordination, invoice processing, and financial administration. This role ensures financial accuracy, compliance, and smooth accounts payable invoicing processing, purchase order issuing as well as reconciliation.
In this role you will be overseeing the end-to-end procurement process for contractors, software licenses, and hardware, ensuring accurate purchase order issuance and budget tracking, and maintaining vendor records.

Responsibilities

  • Create and manage purchase orders (POs) in the expense management software, ensuring accuracy, budget alignment, and proper allocation to the correct budget line.
  • Match POs to invoices, process approvals, and ensure documentation is assigned and stored appropriately.
  • Oversee the end-to-end procurement process for the contractors, software licenses, and hardware.
  • Process vendor invoices in line with agreements and payment schedules.
  • Verify invoices against POs and receipts to ensure expenditure legitimacy.
  • Address and resolve invoice discrepancies and reconcile vendor liability balance sheet accounts.
  • Maintain financial tracking in Excel files and store approved documents and contracts in SharePoint.
  • Assist project managers by updating financial tracker worksheets with monthly actuals.

Candidate Profile
You are a motivated finance professional with a minimum of 1-2 years of experience in accounts payable or a similar role. With a strong understanding of accounting principles, including debits, credits, accruals, and invoice processing, you confidently handle reconciliations and financial compliance. You bring solid financial and administrative skills, experience in procurement and vendor management, and proficiency in Excel. Detail-oriented and adaptable, you manage multiple tasks efficiently and thrive in a fast-paced environment. Your positive attitude, willingness to learn, and strong communication skills make you a great cultural fit for the team.
